Specialty Veterinary Dental Services, LLC, doing business as Companion Dentistry & Oral Surgery (“Companion Dentistry,” “we,” “us,” or “our”), is a specialty veterinary dental and oral surgery practice serving Colorado’s Western Slope, the Roaring Fork Valley, and the Vail Valley.

This Privacy Policy explains what information we collect from clients and prospective clients, how we collect it, why we need it, who we share it with, and the choices you have. It applies to our website, our online and paper forms, and our phone, text, and email communications.

- Names of other people you authorize to make decisions about your animal’s healthcare
- How you found us, and the name of any person or veterinarian who referred you
Patient (animal) information
- Name, species, breed, age or date of birth, sex and reproductive status
- Medical, dental, and surgical history, including records received from your primary or referring veterinarian
- Examination findings, diagnostic images and radiographs, anesthesia and treatment records, laboratory and pathology results, and photographs taken for clinical documentation or education
Financial information
- Payment card information processed at the time services are performed
- Deposits, estimates, invoices, and payment history
Communications
- The content of texts, emails, voicemails, and form submissions you send us, and our replies
- Appointment scheduling and confirmation history
Website information
Our website does not use advertising or analytics trackers. Our web host and form software may log standard technical data such as IP address for security and spam prevention.
Our website uses cookies and similar technologies for basic site function, security, spam prevention (CAPTCHA). You can control cookies through your browser settings.
3. How We Collect It
- Through forms on our website, including the New Client Form, Veterinary Referral Form, Equine Veterinary Service Agreement, and Informed Consent form
- When you call, text, or email us
- In person at appointments, at partner hospitals, or on-site at your property for equine visits
- From your primary or referring veterinarian, when records are sent to us as part of a referral
- From outside laboratories, imaging providers, and pathologists who process samples for your animal
4. Why We Need It and How We Use It
We use the information we collect to:
- Schedule, confirm, reschedule, and remind you of appointments
- Coordinate care at the partner hospital where your animal’s procedure will take place, or at your property for equine visits
- Contact you about your animal’s condition, treatment plan, anesthesia, and surgical findings, including during a procedure when a decision is needed
- Prepare and discuss treatment estimates
- Provide pre-operative instructions, discharge instructions, medication directions, and post-operative follow-up
- Tell you when your animal is ready to be picked up
- Bill and collect payment, and process deposits
- Create and keep veterinary medical records as required by Colorado law
- Respond to your questions and requests
- Communicate with your referring or primary veterinarian about your animal’s care
- Provide continuing education to veterinary professionals, using clinical images only in de-identified form unless you give separate permission
5. How We Share Information
We do not sell your information. We do not share or sell client or patient information to third parties or affiliates for marketing or promotional purposes.
All sharing described in this policy excludes mobile opt-in and consent information. Your mobile opt-in information is never shared with anyone for any purpose.
We share limited information only where it is necessary to provide care or run the practice:
- Your primary and referring veterinarian, so your animal’s dental care is reflected in their overall medical record
- Partner veterinary hospitals where your companion’s procedures are performed,
- Outside laboratories, imaging providers, and pathologists who process diagnostic samples
- Payment processors and financing providers, including our card processor and CareCredit if you apply, solely to process your payment
- Software and service providers who operate our practice management system, website, online forms, email, and phone and text messaging platform, and who are permitted to use your information only to provide those services to us
- Collection agencies, for invoices that remain unpaid beyond the period stated in our payment terms
- Government agencies, regulators, or others, where required by law, court order, or to protect the health or safety of an animal or person
Anyone you have authorized to make decisions about your animal’s healthcare may receive information about that animal’s care.
Data Sharing — additional details
• Customer data is not shared with 3rd parties for promotional or marketing purposes.
• Mobile opt-in and consent are never shared with anyone for any purpose. Any information sharing that may be mentioned elsewhere in this policy excludes mobile opt-in data.
Companion Dentistry and Oral Surgery Messaging Terms and Conditions
1. The messaging program consists of general conversational messaging to answer questions and provide support to customers.
2. You can cancel the SMS service at any time. Just text ‘STOP’ to the phone number from which you received messages. After you send the SMS message ‘STOP’ to us, we will send you an SMS message to confirm that you have been unsubscribed. After this, you will no longer receive SMS messages from us. If you want to join again, just sign up as you did the first time and we will start sending SMS messages to you again.
3. If you are experiencing issues with the messaging program you can reply with the keyword HELP for more assistance, or you can get help directly at Info@companiondentistry.com.
4. Carriers are not liable for delayed or undelivered messages.
5. As always, message and data rates may apply for any messages sent to you from us and to us from you. Message frequency will vary based on communication needs. If you have any questions about your text plan or data plan, it is best to contact your wireless provider.

6. How We Protect Information
We maintain administrative, technical, and physical safeguards to protect your personal information from unauthorized access, use, or disclosure. Access is limited to authorized personnel and service providers subject to confidentiality obligations.
We use access controls, secured devices, and vendors selected for their security practices. No system is perfectly secure, and we cannot guarantee absolute security of information transmitted over the internet.
7. How Long We Keep Information
We keep veterinary medical records for at least the minimum period required by Colorado veterinary practice requirements, and longer where needed for legal, tax, insurance, or legitimate business reasons. Communication records, including text message history, are kept only as long as needed for those purposes.
8. Text Messaging Terms and Conditions
Text messages from Companion Dentistry are sent from Companion Dentistry at (970) 331-0453.
Message types. If you consent to receive text messages, we will text you about appointment scheduling, confirmations, and reminders; pre-operative and discharge instructions; treatment estimates and billing; notification that your animal is ready for pickup; updates about your animal’s care; and replies to questions you send us.
Message frequency. Message frequency varies. You can expect approximately five messages per appointment, plus replies to any messages you send us. We do not send marketing or promotional text messages.
Rates. Message and data rates may apply.
How to unsubscribe. Reply STOP to any message to stop receiving text messages from us. You will receive one confirmation message and no further texts. You may also call us at (970) 331-0453 or email info@companiondentistry.com to be removed.
How to get help. Reply HELP to any message, call (970) 331-0453, or email info@companiondentistry.com.
Consent is not a condition of service. You do not have to agree to receive text messages in order to become a client or receive care. If you opt out of texts, we will contact you by phone or email instead.
Carriers. Mobile carriers are not liable for delayed or undelivered messages.
Opt-in information is never shared. Your consent to receive text messages, and the mobile number you provide for that purpose, are never shared with or sold to anyone for any purpose.
9. Other Communications
Email and phone. We contact clients by email and phone about appointments, care, and billing. To stop non-essential email, use the unsubscribe link in the message or contact us directly.
10. Your Choices and Rights
You may, at any time:
- Ask what information we have about you and your animal
- Request a copy of your animal’s medical records
- Correct inaccurate information
- Request deletion of information we are not required by law to retain
- Opt out of text messages, and of non-essential email and phone contact
- Ask questions about how we handle your information
To make a request, call (970) 331-0453, email info@companiondentistry.com, or write to us at the address above. We will respond within 45 days. We may need to verify your identity before acting on a request, and some veterinary records must be retained even after a deletion request.
Colorado residents may have additional rights under the Colorado Privacy Act. We honor the requests listed above for all clients regardless of where they live.
11. Children
Our services are directed to animal owners who are adults. We do not knowingly collect information from children under 13. If you believe a child has provided us information, contact us and we will delete it.
12. Changes to This Policy
We may update this policy. When we do, we will change the “Last Updated” date above and post the revised policy on this page. Material changes affecting how we use your information will be communicated to active clients.
